What Assembly Information Should Accompany Panel Office Furniture?

What Assembly Information Should Accompany Panel Office Furniture?

Before arranging assembly, request information that matches the exact furniture being supplied: applicable instructions, an identified parts and hardware list, tool requirements and clear responsibilities. A quotation image alone cannot answer those questions. Give the proposed installer the documents early enough to identify gaps before work is scheduled.

Use this checklist to prepare a document request for panel-style office desks, workstations, tables and storage. It is a procurement guide, not instructions for assembling a particular BG product or confirmation that every document or service is available.

1. Match the instructions to the selected configuration

Record the model, quotation item and selected configuration. For a table enquiry, start with the original reference in the BG meeting table category. Ask the supplier which assembly document applies to that selection and whether separate instructions cover any included storage, screen or other component.

Check the document’s model reference, revision and scope. If it covers several versions, ask which diagrams and steps apply to the quoted item. Keep that answer with the document. Similar appearance is not confirmation that another model’s instructions are suitable, and a finish variant should not be assumed to change or preserve the assembly method.

2. Make panels and fittings identifiable

Request a parts list with identifiers that can be matched to the instructions. Ask how the supplied panels, supports and other components are identified, including any distinction between similar-looking parts. The buyer should be able to refer to a particular item when asking a question without inventing a name for it.

For hardware, request the applicable identifiers, descriptions and quantities. Ask how fittings are grouped and which purchase item the list covers. Keep those quantities separate from furniture quantities and carton totals. Do not treat an unlabelled bag or an illustrative product photograph as a complete hardware schedule.

3. Review one document checklist with the installer

Use a simple record to track what has been received, what needs clarification and who will provide the answer. The fields below are requests to agree with the supplier and installer, not a list of confirmed BG inclusions.

Information needed What the buyer should confirm
Applicable instructions Exact model or configuration, document revision and relevant diagrams.
Parts identification Component references that match the instructions and supplied items.
Hardware schedule Fitting identifiers, descriptions, quantities and the item they belong to.
Tools and preparation Required tools, any supplied tools, handling needs and space requirements.
Work responsibilities Who provides documents, assembles furniture and handles any separately agreed work.
Completion record Applicable checks, the reviewer and the method for recording unresolved issues.

Ask the proposed installer to review the tool and preparation requirements in the applicable instructions. Confirm what it will bring and what must be arranged by another party. Request clarification of any stated handling or personnel requirements; do not estimate staffing, tool sizes or tightening settings from the furniture image.

4. Separate furniture supply from installation work

Ask whether the quotation covers furniture supply only or also includes a defined assembly service. Identify who unpacks and checks components, performs the agreed assembly and reports missing or unclear items. If an installer is appointed separately, give it the same model and document references used by the supplier.

Where fixing to a building, electrical connections or other site work is relevant, clarify the responsible provider and the applicable instructions separately. Do not assume these tasks are included because a table has a cover or a cabinet appears beside a wall. The document request should reveal a responsibility gap, not fill it with an assumed service.

5. Close document gaps before confirming the plan

Keep a dated list of questions beside the latest documents. For example, if the instructions show a fitting code absent from the hardware list, send that exact reference for clarification. This is an illustrative document mismatch, not a report about a BG shipment.

Request corrected information where needed, and have the proposed installer review it. Agree how completion and unresolved issues will be recorded. Receiving documents does not by itself confirm successful assembly. For earlier purchasing decisions, the office furniture RFQ checklist helps keep these requests attached to the correct enquiry item.

Buyer questions

Can we use instructions for a similar-looking model?

Ask the supplier to confirm applicability to the exact model and configuration. Keep that confirmation with the document instead of selecting instructions by appearance alone.

Is an assembly video enough?

Ask what information the video covers and which model it shows. Request any accompanying parts identification, written instructions and warnings needed for the selected product.

What should we do if a fitting is missing or unclear?

Record its identifier, the relevant instruction reference and a photograph if available. Request clarification or the correct replacement information from the supplier; do not specify a substitute by appearance.

Does purchasing office furniture include assembly?

Confirm the scope in the quotation. Identify any separately appointed installer and agree responsibilities, charges and scheduling explicitly rather than assuming a service is included.

Request the information for your order

Contact BG Office Furniture with the selected model, configuration, quotation reference and proposed installation arrangement. Ask which applicable documents can be provided and list any information your installer still needs before confirming its work plan.
