Carton Labels and Item References: Preparing for an Office Furniture Delivery

Carton Labels and Item References: Preparing for an Office Furniture Delivery

A product model identifies a furniture design; it does not tell a receiving team which order line or room a carton belongs to. Before delivery, agree how the supplier’s carton references will connect to your purchase records. A readable label and a matching document help the receiver ask precise questions when something is unclear.

This guide is a buyer’s label-review method for desks, workstations, meeting tables and storage. It is not a sample of BG’s current packaging or a promise that room labels, barcodes or a particular packing arrangement are available.

1. Keep the model, order item and carton reference separate

Start with the selected furniture reference from the BG product catalogue. Link it to the item identifier in your accepted quotation or purchase order. Preserve the supplier’s model spelling and any confirmed configuration reference; do not replace them with an informal room name.

Then ask how that item will be identified on the cartons and packing list. Do not calculate carton totals from the number of desks shown in a photograph. If an item uses several cartons, request the supplier’s actual grouping method. If a carton contains parts for more than one item, ask how its contents are recorded.

2. Request a sample label and check the same fields

Send the supplier a proposed information checklist and ask what can be included. Review a label sample against the corresponding packing-list entry. The table below contains fields to confirm, not a universal label standard or confirmed BG packing data.

Field to check Buyer’s review question
Order reference Does this identify the correct order and agreed delivery batch?
Furniture item Can the receiver trace the model and configuration to the purchase item?
Carton reference Is the identifier readable and explained in the packing list?
Contents or grouping Can the receiver tell which item or group the carton belongs to?
Room reference If requested and agreed, does the destination match the buyer’s room schedule?
Document version Which packing-list version explains the label currently being reviewed?

Ask for a legible view of the proposed label. Check that similar model codes remain distinguishable and that no field is cut off. A mock-up confirms the intended information; it is not evidence that the final cartons have been labelled.

3. Agree who supplies and applies room references

The supplier may identify products while your team uses room numbers. Prepare a separate mapping between those references, and ask whether destination information can also appear on the label. Confirm who supplies the room schedule, who applies any additional label and when the schedule must be final.

For example, “Desk D-01 → Room R-02” can be a buyer’s planning reference. These invented codes do not specify a BG model or carton count. If a room allocation changes, update the mapping and tell the receiving contact; do not silently alter the supplier’s carton identity.

4. Give the receiving team one usable handover

Share the agreed packing list, the item-to-room mapping and the reviewed label example with the person receiving the goods. Identify the supplier contact for questions and the buyer responsible for resolving allocation changes. Keep earlier versions separate so a printout is not mistaken for the current record.

At receipt, record the carton references actually observed. Note unreadable labels, unmatched references or apparent differences without guessing what is inside. Photograph the relevant label when clarification is needed. Follow the agreed receiving and damage-reporting procedure; matching a label alone does not confirm the contents, condition or completeness of the furniture.

5. Resolve open questions before the handover

List unresolved label fields beside the responsible person and requested response date. An unconfirmed carton total should remain unconfirmed. Keep label approval separate from agreement on shipping services, installation, commercial terms or delivery dates.

If the order is still being defined, use the office furniture RFQ checklist first. Carry the agreed product references into the label review once the supplier has identified the proposed packing arrangement.

Buyer questions

Is the model number enough for a carton label?

Check whether it can be traced to the correct order item and carton group. When the same model serves several rooms, keep a separate room mapping or agree additional destination information.

Does one carton mean one complete desk?

Do not assume this. Ask the supplier to confirm the actual contents and grouping for the selected configuration, then compare the carton references with the packing list.

Should every label include a barcode?

Ask what identification method is available and usable by the receiving team. If scanning is proposed, confirm what the code represents and how it connects to the shared documents.

What if a carton reference does not match the list?

Record the observed reference and the document version, then request clarification from the agreed contact. Keep the item unresolved rather than changing the record to force a match.

Prepare your label-review request

Contact BG Office Furniture with your selected models, order-item references and any requested room mapping. Ask for the applicable packing information and a label example for review before treating a label format or receiving arrangement as agreed.
