Packing Data Buyers Need Before Requesting a Freight Quote

Packing Data Buyers Need Before Requesting a Freight Quote

A furniture list identifies what you want to buy. A freight enquiry also needs to describe what will actually move: the packed units, their measurements and weight, and the route and services being priced. Sending only a product photograph or an assembled desk size leaves those questions unanswered.

This checklist helps office furniture buyers collect a usable quotation brief. It does not provide BG packing specifications, freight rates or a confirmed transport arrangement. DHL’s freight quotation guidance identifies shipment weight and dimensions, route, transport mode and additional services as pricing factors. Ask the selected freight provider which information it needs for your shipment.

1. Identify the furniture and the proposed shipping batch

Begin with the selected models, configurations and quantities. Keep the furniture list separate from the packing list: one purchased item must not automatically become one carton in your calculation. Ask the supplier to identify the packing arrangement for the exact configuration being quoted.

For example, the BG-2642B storage cabinet and BG-2587MT meeting table are separate catalogue references. Their appearance does not establish how many packages either uses, whether they travel assembled or what their packed dimensions are. Request those details separately; the two models are not presented here as an agreed shipment.

2. Ask for measurements of the packed units

Request the outer length, width and height of each package type, the measurement units and the number of packages using those dimensions. Ask for the gross weight of each type, including its packaging, rather than substituting an unpacked furniture weight. Keep different package sizes on separate lines.

If the goods will be grouped on pallets or in crates, ask which figures describe the individual cartons and which describe the final handling units. Have the supplier and freight provider confirm which level belongs in the quotation. Recording both without labelling them can lead to counting the same goods twice.

3. Use a packing-data request table

The table below is a blank information request, not an actual BG packing list. Add the source and confirmation status beside each answer. If a figure is provisional, leave it visibly provisional.

Information to request What the buyer should record
Shipment reference [Selected models, configurations, quantities and proposed batch]
Package groups [Type of packed unit and count for each different package group]
Outer dimensions [Length, width, height and units for each group]
Gross weight [Weight per packed unit, units and confirmed shipment total]
Packing arrangement [Cartons, pallets or crates; which figures describe the final handling units]
Handling requirements [Any supplier-confirmed restrictions or handling information for the freight provider]

Ask whether any package may be stacked and whether special handling is required; do not infer either from a cabinet or table photograph. Where the supplier has not confirmed an answer, pass the uncertainty to the freight provider instead of entering an invented value.

4. Define where the quoted service starts and ends

Give the proposed collection and delivery locations at the detail requested by the freight provider. A destination country alone does not describe the same job as delivery to a named warehouse or office address. State the intended transport mode, or ask the provider to explain the alternatives it is quoting.

List any requested collection, loading, unloading or final-delivery services separately. Ask who arranges each step and what information is needed about access at the destination. Treat a requested shipment date as a planning input until the responsible parties confirm it. Do not convert a freight estimate into a promised delivery date.

5. Compare the response with the same data sheet

Send each provider the same confirmed package data and service request. Ask the quotation to identify its assumptions, included services, exclusions and validity. If the packing arrangement changes, return the revised data for review rather than assuming the earlier figure still applies.

Keep the furniture quotation and transport quotation distinguishable. Ask how any additional charges would be identified and confirmed. This checklist does not calculate freight charges, taxes or a container loading plan, and it does not establish that BG supplies any particular transport service.

Buyer questions

Can assembled furniture dimensions be used as package dimensions?

Do not substitute them. Request the outer measurements of the proposed packed units for the selected configuration, with the units clearly stated.

Is a total weight and volume enough?

Ask the freight provider. Keep the package counts, individual dimensions and weight breakdown available so the total can be understood and checked.

What if the final packing data is not available yet?

Label preliminary figures as estimates and identify who must confirm them. Ask which changes would require the freight quotation to be revised before booking.

Does a freight quote include installation in the office?

Do not assume so. Ask the relevant provider to state the end point and included services. Furniture assembly and placement responsibilities need separate confirmation.

Request packing information for the selected configuration

Contact BG Office Furniture with the models, quantities and intended destination. Ask for the applicable packing data and its confirmation status, then share the agreed information with your freight provider. Keep unanswered packing and service questions visible until they are resolved.
