Checking Site Readiness Before Office Furniture Arrives

Checking Site Readiness Before Office Furniture Arrives

A furniture list can be approved while the receiving location is still undecided. Before goods arrive, a buyer needs a separate record of where the delivery will stop, who can accept it and which site questions remain open. This is especially useful when an importer, dealer, warehouse and end customer are working from different information.

Use a site readiness record to collect confirmations from the parties responsible for the building and delivery. It does not establish that furniture fits a route or that unloading, placement or assembly is included in a purchase.

1. Name the receiving point and the person responsible

Write the exact receiving address and the intended unloading point, then distinguish them from the final furniture location. A warehouse delivery and a delivery to an office floor can involve different responsibilities even when both appear under the same customer name.

Record the building contact, receiving contact, expected attendance and any booking procedure. Ask who can confirm access and who should be contacted if the agreed arrangement changes. An email saying that the office is open does not answer whether a delivery appointment has been accepted.

2. Match the route review to the actual packed goods

Identify the selected furniture before asking about access. Catalogue references such as the BG-2610B cabinet and BG-2587MT meeting table can anchor separate item records; their photographs do not establish packed dimensions or delivery configuration.

Obtain the relevant packing information and give it to the responsible building and transport parties for review. Record access restrictions, booking requirements and unanswered questions about the intended route. Do not substitute assembled product measurements for carton measurements, or assume that a photograph proves an item will pass through a doorway or lift.

The separate packing data checklist explains the information needed for a freight enquiry. Keep that data linked to this record rather than copying values into several unconnected documents.

3. Keep a short site confirmation sheet

The table below is a blank planning structure, not a completed site assessment. For each field, add the answer, the person who confirmed it and the date. Leave unresolved items visibly pending.

Field Confirmation to record
Receiving point Address, agreed stopping point and receiving contact.
Access arrangement Booking, entry restrictions and responsible building contact.
Route review Packing information supplied, reviewer and unresolved constraints.
Temporary holding Agreed location, availability and applicable handling or storage instructions.
Service responsibilities Named parties for receipt, unloading, movement, placement and assembly.
Open decisions Outstanding question, decision owner and next confirmation date.

4. Separate receipt, holding and installation responsibilities

Confirm where goods can be held if the final rooms are unavailable. Ask the responsible party to review the proposed location against the actual packaging and the applicable handling or storage instructions. Do not invent stacking limits, floor capacities or suitable storage conditions from a product image.

Then distinguish accepting the delivery from unloading, moving goods inside, unpacking, placing furniture and assembling it. Put the agreed service scope and responsible party in writing. A furniture quotation, a freight quotation and a building booking may cover different parts of this sequence; one confirmation should not silently stand in for the others.

5. Share changes before treating the location as ready

UK HSE guidance on visiting drivers highlights site layout, entry and exit, and parking or unloading information as matters to communicate. Use this as a reminder to share relevant site information with the responsible parties, rather than assuming the driver already knows the building.

If the address, access arrangement or receiving contact changes, update the record and ask affected parties to confirm the revised arrangement. Keep the previous answer identifiable. A planned arrival date is not evidence that every site condition has been checked.

Buyer questions

Does an approved furniture quotation mean the site is ready?

No. The quotation identifies an offer and its stated scope. Receiving arrangements, access and building responsibilities need their own confirmations.

Can a product photograph confirm whether delivery access is suitable?

No. Request the relevant packed measurements and configuration, then have the responsible parties review them against the actual route and restrictions.

Who should confirm unloading and movement inside the building?

Identify the parties responsible in the agreed delivery and site arrangements. Do not assume those services are included merely because furniture is being supplied.

What should remain pending if information is missing?

Keep the unanswered question, its owner and the required confirmation visible. Avoid marking the whole location ready while a material access or responsibility question remains unresolved.

Send a furniture reference with the receiving questions

When you contact BG about selected office furniture, include model references and the packing information you need. Coordinate the location review with the responsible building and delivery parties, and keep their answers alongside the quotation.
